If you're new to running a VAT-registered business in Rwanda, the term "EBM number" comes up constantly. This is the short reference: what it is, why it matters, and what to do with it.
Definition
An EBM (Electronic Billing Machine) is an RRA-certified device that issues receipts and invoices for taxable sales. Every receipt it prints carries a unique EBM number — sometimes called the EBM receipt code or invoice number. The number is tied back to the supplier's TIN and the transaction is logged with RRA in real time (or near-real-time, depending on the device).
Why RRA cares
The EBM number is how RRA matches the supplier's output VAT against your input VAT claim. Without it, your claim can't be verified — and the most common reason input VAT gets disallowed in audit is missing or invalid EBM numbers.
How to store it
- On every purchase transaction in your books, add a dedicated field for the EBM number.
- Attach the original receipt photo. Thermal print fades; digital doesn't.
- Store the supplier's TIN alongside.
- Reconcile monthly against your VAT return.
The fast way
BillSnapp prepares receipt details for human review. Test the local identifiers, tax fields and totals your accountant requires on representative Rwandan documents. Confirm the export or connected QBO result; document capture does not provide automatic RRA filing or a compliance guarantee.
