How to scan and import receipts into QuickBooks Online (2026 guide)

A receipt image is evidence; a reviewed accounting transaction is the result. A reliable import process keeps the two together and checks amounts, categories and tax treatment before the entry is accepted.

Start with your existing QuickBooks workflow

Review the receipt workflow available in your current QuickBooks Online subscription. Test your document types and confirm which fields, attachments and transaction types it supports. Product features and subscription terms can change; use current Intuit documentation for setup instructions.

    Test a dedicated capture workflow

BillSnapp collects documents and prepares extracted supplier, date, tax, amount and line-item details for review. Check the result, confirm the category and approve the record before posting a supported Bill or Expense with its attachment to connected QuickBooks Online.

    Check the destination

Use a small representative set: an ordinary receipt, a multi-page invoice, an unclear scan and a duplicate. Inspect the resulting records in your QBO company. Confirm supplier, currency, totals, categories, tax treatment and attachments; resolve unknown posting outcomes before retrying.

    Choose on total reviewed effort

Count time spent collecting, correcting and approving records, including exceptions. A second product is useful when it solves a clear collection or review problem. Capture alone does not reconcile a bank statement or complete a monthly close.
